Role:
To control and manage administrative and other assigned functions for the President, making it possible for the president to focus on other matters associated with directing the Financial Institution.
Expectations:
• To provide informed, professional and personal assistance to all members, Board and Committee Members, employees and business partners.
• To provide timely, accurate professional administrative support for the President, Board and Executive staff.
• To meet all required time deadlines for mail/correspondence for CEO and Board material.
• To maintain a professional work environment and businesslike appearance.
• To maintain and keep current policies, procedures and Board minutes and actions.
• To organize the central files/records and maintain daily filing with accuracy.
• To keep management informed regarding key operating issues affecting the department.
• To provide completed travel arrangements for persons traveling xx days prior to leaving and follow up with expense reports xx days after travel.
• To prepare and distribute promptly monthly minutes assuring on-time delivery. Updating information and provide it to appropriate parties with zero errors.
• To maintain confidentiality at all times with any information coming from the President’s office.
• To clearly communicate in both verbal and written means, on behalf of President.
• To continuously reach for learning and self-development opportunities.

Duties: |
Major Duties and Responsibilities:
• Provides confidential administrative support to the President. Composes letters, presentations, and memoranda from verbal direction or from knowledge of organization policy or procedures; edits written communications for work processing documents. Coordinates meetings and makes travel and lodging arrangements for the President and others.
• Screens incoming mail, publications, and other correspondence.
• Maintains and manages president’s daily appointment calendar.
• Prepares or assists in the preparation of assigned reports.
• Assists the president in aspects related to the Board of Directors and Committee meetings.
• Collects and prepares information for the president’s use in discussions and meetings with other managers, employees and outside individuals. Attends Board and Committee meetings, recording minutes.
• Performs other related duties as assigned.

Qualifications: |
Knowledge and Skills:
Experience Two years to five years of similar or related experience.
Education Two-year college degree or completion of a specialized course of study at a business or trade school
Interpersonal Skills The ability to motivate or influence others is a material part of the job, requiring a significant level of diplomacy and trust. Obtaining cooperation (internally and/or externally) is an important part of the job.
Other Skills Excellent organizational, written and editing skills. Proficient with MicroSoft Office; Excel, Word, Powerpoint.
